Job Summary:
Plans, organizes, and supervises the activities of the circulation department, oversees circulation staff, assists library patrons in the use of library services, facilitates, and equipment, interprets library policies for patrons; and coordinates activities with other department heads.
Duties:
1) Receives oral and written directions from the Library Executive Director
2) Participates in the development of operating policies and procedures
3) Participates in the near-term and long range planning of library services
4) Evaluates circulation operating procedures and makes adjustments as needed to improve efficiency
5) Assigns work to paraprofessional and clerical staff
6) Supervises the circulation of the library collection of book and non-book items
7) Oversees the enrollment of new patrons to the library
8) Provides service, book, and media collection information and advice to new and current patrons
9) Supervises the receiving and recording of library fees for lost/damaged materials.
10) Recommends employment, promotion, and retention of department staff members. Updates staff schedule form.
11) Provides training exercises for circulation department employees
12) Inspects damaged circulation materials, bills patrons, and mails notices
13) Resolves personnel and patron problems within the department as necessary or makes suggestions to Library Executive Director
14) Recommends equipment and software improvements
15) Understands and is able to perform all jobs related to circulation services, including but not limited to: charging, discharging, and renewing library materials; registering patrons; receiving and processing holds and interlibrary loans
16) Responsible for the appearance and order of the circulation desk are, the new book collection, and the audiovisual collection
17) Works with staff and volunteers to shelve and shelf read
18) Inventories and reports circulation supply needs
19) Reports work accomplished to the Executive Director
20) Monitors Emails for a) Circulation Staff and communications with patrons about questions, requests, and concerns, b) Payments email
21) Creates Book Displays with assistance from staff
22) Assign tasks to library volunteers
23) Create reports (weekly/monthly) to communicate with patrons about overdue materials, mark items withdrawn, discover missing items, monitor holds not being filled, renew new patron information.
24) Communicate with other system libraries when needed and forward payments made here to them
25) Assist with maintaining Circ calendar for staff assignments and substitutes
26) Monitors system notifications from patrons (item Notes and requests to update info)
27) Maintains Welcome packets with current information
28) Inform staff of system upgrades affecting circulation
29) Other duties as assigned
Additional Duties:
1) Provides patrons with general information on library services; assists and instructs patrons in using library services, equipment, and facilities
2) Performs duties in other departments as needed
3) Attends professional and community meetings, workshops, and conferences as required
Supervision:
Receives direct supervision from the Library Executive Director
Required Knowledge, Skills, and Abilities
1) Knowledge of public library services and programs
2) Strong oral and written communication skills
3) Ability to interact courteously and effectively with the public and with other staff
4) Ability to understand and interpret library policies, procedures and rules
5) Ability to keep records accurately
6) Ability to represent library at professional and community meetings
7) Ability to work independently
Minimum Qualifications:
Bachelor’s Degree desired. A minimum of 2 years’ relevant experience working in a public library, a demonstrated customer service orientation, and familiarity with automated integrated library systems preferred. Working knowledge of computer word processing and software programs is desirable.
Physical Requirements:
● Ability to move and/or lift up to 25 pounds
● Ability to push a book truck weighing up to 300 pounds
● Regularly required to bend, walk, stand, reach etc.
● Vision and hearing at or correctable “normal ranges”
